“File too large” doesn’t have to mean starting over.
A form can reject a perfectly clear image because its format, dimensions or file size do not match the instructions. Check these independently. The examples here are illustrative, not official rules for an exam, bank or government portal.
1. Copy the actual requirements first
Look next to the attachment field and in the current official instructions. Note the allowed format, maximum size, any minimum size, exact or ranged pixel dimensions, background and composition requirements. Requirements differ between portals and may change. Our defaults do not certify compliance.
2. Separate file size from image dimensions
A 300 × 400 pixel image can have very different byte sizes depending on the format and image detail. A file ending in .jpg is not necessarily a valid JPEG. Changing a filename extension does not convert a file.
Promotcha uses decimal KB: 1 KB is 1,000 bytes. Some portals use 1,024 bytes per KB. If your maximum is 100 KB, choosing 95 KB leaves a small margin for this difference or portal rounding. Always inspect the actual byte count and any minimum-size rule too.
3. For photos: resize without stretching
Resize photo can fit the complete image with white padding or crop it to fill the requested frame. Cropping and padding can both violate a portal's composition rules, so review the official instructions. This is not a passport-photo certification or face-retouching service.
4. For signatures: protect the strokes
Use a clear source image. In Resize signature, Fit all keeps the signature proportions and adds white padding rather than cutting off strokes. Choose JPG or PNG according to the portal. A transparent PNG is not the same as a JPG with a white background.
5. For PDFs: choose the compression trade-off
Compress PDF offers a lossless repack, which may make little difference to an already-optimized file. Its image-based mode makes page pictures and can remove selectable text, links and accessibility structure. Never use that mode for a digitally signed document or where the recipient needs searchable text.
If unnecessary pages are allowed to be removed, extract only the requested pages. Do not remove required declarations, references or supporting pages just to reach a size limit.
6. Open the downloaded file before submitting
- Read every page and zoom in on small text, faces and signature strokes.
- Check the actual format, dimensions and file size, including any minimum.
- Check page order, orientation and required content.
- Keep your original file. Downloaded copies do not replace it.
- If the portal still rejects a compliant file, consult its official support rather than repeatedly damaging the image with more compression.
A quick example
Suppose a form asks for JPG, 300 × 400 pixels and a maximum of 100 KB. Enter 300 and 400, select JPG, choose 95 KB and keep automatic dimension reduction off. Generate the result and verify that it meets the size limit. If it does not, do not submit it as compliant: review permitted dimensions and source-image quality first.
